Group Scenario Assignment: Opening a Pediatric Clinic
Objective: To collaboratively explore the critical aspects involved in preparing for and executing the opening day of a pediatric clinic, ensuring readiness, safety, and efficiency.
(BreAna) Scenario 5: Creating a Welcoming Environment
– The physical environment of the clinic should be welcoming and child-friendly. Design a plan for creating a comfortable and engaging atmosphere for young patients and their families. Consider elements such as decor, waiting area activities, and overall clinic ambiance. How will you ensure that the environment contributes to a positive patient experience from day one?
Discussion Points:
1. Identify the key tasks and challenges presented in your scenario.
Making the waiting room a comfortable place to wait short or long amount of times depending on the clinic’s business
Providing activities that can entertain the kids and prevent them from crying
We can’t go to bland with the decoration because it’s a kids clinic but we also don’t wanna go too much because that can affect some children depending on what they have
2. Discuss how these tasks and challenges impact the readiness, safety, and efficiency of the clinic.
-Having a welcoming and child friendly environment in a clinic will make the children feel more comfortable
-It can help calm the children calm down and when the procedures starts the child will not be scared easily
-If a child sees something they have interest in then they will feel comfortable and safer
3. Discuss potential obstacles and how to overcome them.
An obstacle is children can get bored of the same toys and activities. To solve these problems we could have many options of toys and activities so the children can have various options and can be entertained.
Another obstacle is not having a decorated room for children. This can be seen as an obstacle because when children walk in the room they might come in with anxiety or be nervous and may even start crying. If we decorate our rooms with children’s paintings, it can reduce the children’s nervousness and anxiety. Seeing the paintings on the walls will allow them to acknowledge the room and place is a safe environment and they might even be entertained.
4. Propose practical solutions and strategies to address these tasks and challenges.
Some strategies that can be taken to ensure these tasks and challenges are done successfully is to firstly understand what things can keep children and adults occupied when waiting either for a short or long amount of time. Another solution is to have some soothing music that could also be somewhat upbeat playing, to help the people in the waiting room to feel less anxious and to give them something to focus on / listen to.
To make sure younger patients and their families are comfortable while waiting is to have padded chairs, and having activities that are within reach and don’t require much effort. Having nice decorations that have colors that aren’t too bright and that are easy on the eyes. And there could be cartoonish depictions of animals
We could have cartoons playing on a TV in the waiting room, and make sure that there is a rotation on different cartoons so people don’t get bored of watching it.

Scenario #1:
One way to conduct a detailed facility inspection is by reviewing all the regulatory standards, and making sure that they are met at the clinic. Stocking on supplies, setting up adequate furniture at the waiting room, having an operational AC, proper waste management, and having competent workers should be the first priority. Since it is a pediatric clinic we can focus on decorating with paintings, having a play ground section, and having cartoon drawings on walls. Having emergency exits and ramps is a must. A potential problem that I have identified is having unprepared staff. To solve this problem we can have practices and meetings to prepare for the grand opening.
-
yes, I firmly agree with what you’re saying the steps are perfect it’s understandable it helps feeling prepared.
-
IHI Emmanuel,
I love how since the clinic is for children you added to have them work on paintings to distract them and also a play ground section so children don’t get bored or feel scared they can go play to cool down from the nerves. and having cartoon on the wall so the kids are fascinated in the color pictures.
-
Hi Emmanuel, i agree with you when it comes to the waiting room. having a comfy space for the patient could make them more relaxed.

(Leah) Scenario 1: Facility Inspections and Safety Readiness
– Your pediatric clinic is scheduled to open in one month. Conduct a detailed facility inspection to ensure all areas meet safety and regulatory standards. Discuss the steps involved in this inspection, identify potential issues, and propose solutions to address them. How will you ensure that the clinic is safe and ready for patients?
To ensure that the clinic is safe and ready for patients I would examine the area and check the check in list where my co-workers show if they clean that area and if not I would do it without hesitating because the safety of our patient is our responsibility just like ours safety also this helps keep our job and our well beings safe. The purpose of keeping our safety regulation standards safe is to prevent any harmful material in areas that can cause fetal harm to us and patients so for that reason the steps that involved inspection and initiative should be a proper solution to address this situation this will help everyone with keeping us safe and strong.
-
(Leah) Scenario 1:
I agree with you Banessa, since we need to provide the patient with the best care!
-
Great way to ensure safety among everyone in the clinic! Great thinking and i definitely agree with this!
-
-
I like the idea of putting some activities in the waiting room so the children wouldn’t be bored and would most likely want to go there more often to use them.
-
(Lauryn) Scenario 4: Patient Communication Strategies
*Effective communication with patients and their families is essential for building trust and ensuring positive experiences. Develop a patient communication strategy that includes pre-opening announcements, appointment reminders, and follow-up communications. Discuss the channels you will use (e.g., phone, email, SMS) and how you will measure the effectiveness of your communication efforts.*
-
The key task in the scenario involves creating a patient communication strategy that entails appointment reminders, follow up communications, all while using appropriate communication apps like phone, email, SMS. (An)
-
By making sure that messages get to our patients, the entire clinic will run a lot more smoothly and create a better environment for our healthcare providers, parents, and patients. (E)
-
Reminding them of their appointments by emailing parents, SMS messaging them and calling allows us to get information that we need to know. Important things like if they are still free to come in that day or forgot and want to make another appointment. We can also ask any questions or allow a safe space for parents to ask questions so tha they feel safe and can clarify any concerns or misunderstandings that they may have. (T)
-
When implementing these solutions, healthcare providers, administrative staff, and other team members should understand how they will manage certain situations involving complex patients and situations. It is also essential for them to communicate with each other and find solutions to their problems. (H)
-
Potential obstacles could be rude patients or patients that don’t answer to follow up whether it’s text or call. A way to overcome this is by being patient with rude patients and helping them understand we are trying to help them for patients that don’t answer at all or don’t have technology. If they don’t answer within a certain time frame we would mail out information regarding them and take further action. (Al)

Irma’s Scenario 2
I would have the healthcare professionals demonstrate how to do ordinary care, all safety protocols and have the new hiring do it so see what they missed and can go back to fix their mistakes. Discuss how opening day works and how they need to think fast but not rush the patients and techniques that will help them out. Also a big main section as a health care employee is communication to all patients and how we talk to them so they can trust us and feel comfortable with us.

Scenario 3: (Emmanuel N, Emmanuel T, Banessa, Apple, Koree, Reyna)
One of the main challenges in this scenario are not being prepare and not having the necessary resources.

possibly to have a meeting in the hospital in order to ask everyone that how they can use the computer as well where to find things like supplies and order more
Consider the roles of healthcare providers, administrative staff, and other team members in implementing these solutions.
computers and electronics will help them in communicate and become much easier to send things like how many people had attend that day and how much supplies they could buy for the next day
Discuss potential obstacles and how to overcome them.
but the trouble thing is how will people will think about the whole switch to other patients and other person

To improve efficiency in the clinic, it is essential to implement a Patient Management System (PMS) that facilitates digital registration, and adopt appointment scheduling software that sends automatic reminders, as well as an electronic billing system with automatic claims. . to insurance. In addition, we must ensure that the facilities are well stocked, have comfortable and colorful furniture, have air conditioning in good condition, and proper waste management. Ongoing staff training is crucial for quality service, and the clinic must be accessible with ramps and emergency exits. It is also important to create a welcoming environment for children with cheerful decorations and play areas. These measures will contribute to offering an efficient and high-quality service.
