Our key issue is our office front desk is unwelcome and patients are not feeling safe and confident with the negative environment. When there isn’t a welcoming atmosphere for patients, they will not trust the medical professionals and will feel hostile towards medical professionals that want to help them, this will cause lack of confidence and uncertainty of the medical professional that actually wants to help them. To fix these issues we can find videos for our receptionist to re-train, explaining the importance to medical professionals why they need to have a welcoming attitude verbally and non verbally. Also teaching the importance of having a welcoming, clean, respectful, friendly environment for patients to feel trustworthy of the offices they are bringing themselves to and their children. Finally we will know if the changes we made have been effective by having patients give feedback on why we improved on and what would be improved. When implementing these roles we will have our reception team watch a video once a day on how to effectively have a welcoming atmosphere and attitude and administrative staff will make sure all employees have watched a video everyday until the positive feedback has been received. Some challenges that may have to be dealt with are receptionists not listening to the advice from the videos, or their attitudes not changing with the patients and their families. If this were to happen we may need to implement a consequence motion so that workers get their jobs done.

- Some challenges I encountered were patients not having insurance, and important documentation being given incorrectly ; but I overcame these challenges by offering the patient insurance through our services for a limited time and giving the patient a paper highlighting where each piece of information should go.

- Each role contributes to the overall efficiency and care of each patient because every medical professional has a different responsibility with each patient if it’s taking vitals, checking patients information, testing for hearing or vision, most importantly the most effective thing between every patient and medical professional is communication.

Having sanitation as an issue, problems like communicable diseases or viruses can spread, patients’ parents will be weary and unsafe about the care they will receive, and if the clinic is not properly clean and presentable our staff and clinic will look unprofessionally and untrustworthy. Practical solutions and strategies would be our staff team picking up after themselves, following the regulations of opening/ closing the clinic, creating a strutted cleaning schedule daily, making sure every staff member is contributing and completing the important task of having a clean and sanitized facility for both patients and staff. It is important overall to have a clean and sanitized facility so doing things like following strict hygiene protocols, following procedures to prevent contamination, monitor cleanliness levels, identify areas that require more sanitation than others, and implement teamwork. Some challenges that could arise in our scheduling process include staff not being responsible for their task and responsibilities, and ensuring each employee is responsible for sanitizing and sterilizing the clinic. Ways to overcome these challenges would be having separate signing charts for when people complete their task, having teamwork, and establishing open communication between staff members.

I would start off by introducing myself and talking to him about his day, what he likes to do in his free time, his favorite color, movies, etc. Just to get his mind off of being anxious or fearful, once I established with Alex that I am not here to hurt him I will follow up with guiding him through the process of his check up and be very patient with him since I know he might still have that fear in the back of his mind.
