Introduction of the Team:
-
Introduce yourself and give what role you play in the clinic
Hello, I’m Julissa Beltran/Odalis Morales and I will be your medical assistant for today. I will be taking your vitals today.
Identifying Urgent Cases (15 minutes)
Defining and Prioritizing Urgent Cases:
urgent cases are defined as medical situations that pose an immediate threat to the patient’s health if not addressed promptly. Examples include severe abdominal pain suggestive of appendicitis, respiratory distress, high fever with rash, we prioritize these cases by:
-
Quickly assessing the severity of the situation upon arrival.
-
Following established emergency protocols to ensure swift action.
-
Prioritizing based on the urgency and potential impact on the child’s health.
Strategies for Managing Urgent Cases:
-
Establish a triage station if we have urgency of cases immediately.
-
Have an emergency team on standby ready to extend their hours if needed.
Communicating with Patients (15 minutes)
Effective Communication:
-
Clearly explain the situation to the parent, including the potential seriousness of the issue and the estimated wait time.
2. Show empathy towards the parent’s anxiety. Example: “I understand this is a stressful situation. We will do everything we can to ensure your child receives the best care.”
3. Provide regular updates to the parent to keep them informed about the progress and any changes in the situation.
Conveying Empathy:
-
Listen to the parent’s concerns and respond thoughtfully.
-
Tell the parent that their child is in good hands, and we are doing everything possible.
-
Use non-verbal communication such as eye contact and a calm tone to convey empathy.
Staff Coordination (15 minutes)
-
Inform the receptionists about the urgent case so they can manage other patients and redirect them if necessary.
-
Nurses should be ready to perform initial assessments and assist in preparing for any necessary interventions.
-
Physicians should be on standby to immediately address the urgent case once initial assessments are completed.
Ethical Considerations (15 minutes)
-
Always prioritize the patient’s health and well-being.
-
Efficiently allocate resources to handle urgent cases while considering the clinic’s operational constraints.
-
Be transparent with the parent about what can be done immediately and what might require a visit to an emergency room if beyond the clinic’s capacity.
Ethical Dilemmas:
-
Balancing the immediate needs of the patient with the well-being of the staff who may need to stay late.
-
Deciding how to best use limited resources in a way that maximizes patient care.
-
Ensuring the parent is fully informed and involved in decisions about their child’s care.
Documentation and Compliance (10 minutes)
Importance of Documentation:
-
Maintain accurate and detailed records of the patient’s condition, assessments, and treatments provided.
-
Proper documentation is crucial for ensuring continuity of care, especially during shift changes.
Necessary Documentation:
-
Document the initial assessment findings and triage decisions.
-
Record all treatments
-
Document all communications with the parent, including their concerns and the information provided to them.
Conclusion and Debrief (10 minutes)
-
Clear definition and prioritization of urgent cases.
-
Effective and empathetic communication with the parent.
-
Efficient coordination among staff members.
-
Balancing patient needs with operational constraints.
-
Importance of accurate documentation for compliance and continuity of care.

Steps to confirm the diagnosis of appendicitis in Emily: perform a complete medical history and also a physical exam. And since we already knew that Emely probably lost her appetite because of the pain, we have to examine her to see if there are clinical signs of appendicitis. Blood tests, this would help look for any infection that Emely may have. Urine tests to verify that there is no problem on that side. Imaging studies to review what Emely has in the abdominal area, such as an ultrasound, to confirm the diagnosis. If Emely needs surgery, fasting should be mandatory. Use age-appropriate pain scales to assess Emily’s pain. Give clear and reassuring explanations to Emily’s mother. Provide information about the procedure, risks, and benefits. Offer emotional support and resources to manage stress and anxiety. Obtain informed consent from parents. Prepare Emily for surgery by explaining the process in a way that is understandable for her age. Reduce Emily’s anxiety: Use distraction techniques, such as stories or toys.

– One challenge I had was that I received a patient, the most of their information was incorrect, and some were missing. What I did was give them a new document where each piece of information should go so, I could process putting all the new information correctly and also correct the errors.
– Each role is very important to provide good patient service because if the entire team does a good job, we can improve the patient experience and even have a smooth and comfortable workspace.
– Compliance with HIPAA regulations in managing patient records are important because we can provide patients with assurance that their personal information is protected.
– Efficient procedures and the use of technology improve patient-centered care in pediatric healthcare settings because we can provide them with an easier way to make appointments.

The problem in (Ms.Irma) scenario 4: is that there have been issues with maintaining patient confidentiality and also providing assistance. The problem has an impact because we can make patients feel uncomfortable as they are not having security with their personal information. Some solutions and strategies to confront this problem is to better train the receptionists on how to have more reliability and also provide the best assistance to the patient. All receptionists, administrative, staff, and technology have to follow the rules when implementing these solutions in order to have a safe place, with a good environment and also to take care of the privacy of the patients. The potential changes in implementing the solutions would be to maintain a better environment. This could be overcome by practicing all these strategies.

– What non-verbal cues would you employ to convey empathy and build rapport with Alex?
– Why is maintaining eye contact at Alex’s eye level important in this situation?
Non-verbal cues I would use to convey empathy and establish a good relationship with Alex is smiling, showing him that he is in a safe place and that he can be himself. Non-verbal cues that I would use to establish a good relationship with Alex are to speak to him in a vocabulary that he can understand and speak in a calm tone.
It is important to maintain eye contact at Alex’s eye level in this situation so that he can feel comfortable and safe. It is very important to do all this to give a good experience to the parents and also to the children.
